Functions for the Active Folder: Output

In the Output area of the context menu for Folders and, as well as in the Output function group on the Input / Output tab of the detail window Ribbon you will find the following functions:

You can use this function to choose all or a selection of the file documents that are assigned to a folder.

The basic procedure is largely similar to the document export via Export file , but in this context additional menu items are available in the Settings for export dialogue under Structure

  • Create folder as superordinate directory: This option controls whether the folder in the export directory should be created as a superordinate directory in which the files it contains are then stored. The folder number is used as the directory name. Deactivate the option and the files will not be copied into an automatically created directory with the folder name during export, but directly into the specified storage path.

    Since the folder number is converted to a directory name, a corresponding error message appears if there are invalid characters in the folder number (which prevent a corresponding folder from being created in the file system).

  • Also export sub-folder structure and content: With this option you can export the complete folder structure including subfolders and contents, instead of only the contents of the folder of the function call. (The option above, if deactivated, is inevitably created in this case, since the folder is always created in the context of the structure as a superordinate directory)

    Note that the options Structure > Also export sub-folder structure and content and Document > Export also referenced documents from document or model structure cannot be active together. The background is that when exporting by means of document or model structure, further documents would be exported if necessary, which cannot be stored "meaningfully" in the Windows folder view via the folder structure.

    If files are to be exported "structured" and sent via the export function Send by e-mail, the option As ZIP archive must also be active in the export dialogue that follows the settings dialogue.

    The selected Structure options also influence the structure that is created in the ZIP file.

  • If several indices are assigned, only export the highest assigned index: This option is active by default, meaning that only the highest index of a document assigned to the folder is exported. If the option is deactivated, the following export dialogue offers all indices assigned to the folders of a corresponding document for selection/deselection.
  • Only export documents whose most recent index is also assigned to the respective folder: If an even higher index exists for a document assigned to the folder, which is not assigned to the folder, the assigned document with the lower index is still taken into account when calling Export files of folder... will still be taken into account. If this option is activated, documents in the folder are only included in the export dialogue if they are also assigned to the folder in their highest index. If a higher index exists "outside" the folder, documents with an older index are not taken into account.

The export takes effect regardless of the index options set at HELiOS Options > Result lists > Show objects.

 

The dialogue remembers the settings for the next call.

Via HELiOS Options > Import/Export > Always show configuration dialogue when exporting files of the folder you can control whether the settings dialogue should be called every time or skipped, with the options specified.

 

Please note:

  • If there are no documents in the folder or folder structure, you will receive an error message .

  • If a document is assigned several times in the folder structure, it will be exported several times if the structure export option is selected according to the WYSIWYG principle.

  • When exporting the structure of folders, the export of documents with regard to their index is always based on the document versions specifically assigned to the respective folder.

Prints the graphics of all documents belonging to the active folder. Whether the extended dialogue window for printing documents is called up or printing is started directly depends on the corresponding settings.
