Time Management with Role Workflows

Another special feature of Role Workflows is the fact that they enable you to use time attributes.

One of the Role Functions (comparable to User rights) that you can assign to a Role is the Define date option. Of course, this function needs to be assigned appropriately to enable a particular user to set a defined date at a specific position in the Workflow.

In the EDBSETUP, a Done: ...% field is available via right-click > Documents . Here you can specify the percentage of the time required for an object within the project depicted in the Workflow. On a Workflow step you can in turn define a time specification (value specified for maximum time expenditure) in days.

The final "Done" status of a Folder is calculated from the individual statuses contained therein (documents, articles). For such folders, the HELiOS Desktop provides the % done update command (right-click and select from context menu), calculating the total status of a Folder Workflow in percent and displaying the value in the result list (provided that it has been extended as described in the Configuration of Time Management chapter). Furthermore, the Target date specifications of the Folder automatically reflect the target dates for the Workflow steps of the objects contained therein.

If the user has an appropriate Role or sufficient rights, he/she can also change target dates via right-click > Workflow on an object. The Object path button in the Workflow detail windows activates EDBSETUP.exe with the assigned Workflow. If there are ramifications rendering the time management ambiguous, you can subordinate the Workflow to a hierarchical path. For this purpose, the Workflow statuses listed on the left hand side of the dialogue need to be rearranged in the desired order in the Workflow path list on the right hand side (select and click --> button).

 

Use the Attribute Editor and the Mask Editor (both callable via Tools from the HELiOS Desktop) to integrate the "traffic light" Workflow symbol (known from the EDBSETUP) into the result lists. (in this context, please also read the Configuration of Time Management chapter). Via Tools > Configuration > Options > Deadline management you can define the date when you want the traffic light status "yellow" to appear.
