Create/Edit Action Lists
EDBSETUP.EXE > Create action list
An Action list links automatic processes to specific checkups. Processes refer to events such as the change of ownership following a test or, for folders, the creation of documents and articles.
- Click on the Create action list function from the Toolbar.
- Click on a test step label in an opened Workflow, e.g. on Request checkup.
- The Action list mask will be displayed. In the Action selection area on the right hand side, choose the required option, e.g. Change owner, and specify the new settings.
- In the left-hand area of the mask, various action options are displayed. Use the Edit function to alter an action. The appropriate menu appears enabling you to select, for instance, another owner.
If you want to remove the selected action, click the Delete button.
- Select OK to take over all selected actions and to exit the window.
- The Action lists will be closed and you can assign actions to the next step.
- Finally, Save the Workflow again.

Change database attribute
|
The attribute you select with this function are linked to the Workflow Process and are displayed in the document mask. Example: The checkup is linked to the Released attribute. This means that whenever a checkup is requested, the value of the Released attribute will be shown in the document mask. For some attributes, e.g. GEPRUFT_DAT (test status), you can enter a variable. Instead of the same value, the document mask will now show the date of the checkup. (For further questions on attribute variables please refer to our Hotline.)
The next time a checkup is carried out, the name of the tester, specified in the entry box, will appear in the document mask. |
Change owner |
Use this function to select a new owner taking over the permissions granted to the previous owner. |
Change group |
This function enables you to change group memberships. |
Start process |
Initiates a program start and opens a file. To start a HiCAD macro, select the Start external process function and enter the name of the macro. Transfer the settings to the action list with OK. |
Change access rights |
When a test status is reached, object access rights are changed. |
Send E-mail |
By entering a message in the action list you can achieve that selected persons will receive an E-mail when certain test steps (e.g. Request Checkup or Release) are executed. To take over the comment for the Workflow step in the Notes field of the Edit workflow status dialogue window in the HELiOS Desktop (only for Role Workflows!), into the comment field of the E-mail action dialogue window that will open when you click on the Send E-mail button. The note will then appear in the E-mail.
A prerequisite for this is that E-mail addresses had been assigned to the relevant users in the Via User > User > Master data > Edit:
The settings for the sending of E-mails on your local system are managed by the hel_mail.ini file in the \sys\ directory of your HELiOS installation. Here the corresponding specifications with regard to Server and recipient addresses are defined. |
Create folder document |
During the course of this Workflow process, a document will be either created for a Folder (e.g. the Report document, file type Text File), or an existing document will be searched. The document will be marked in the element list with a red exclamation mark as a "Mandatory" object. |

In this context, please note that init values of attributes assigned via action lists can always be overwritten by further instances!
Edit action list
To edit an action list, click, for instance, on the Workflow step Request checkup after selecting the Create action list function on the toolbar. The Action list window will be displayed.
Now you can add new actions and change marked actions using the Edit function.
