Project Management with Role Workflows

As an alternative to the usual HELiOS Workflow Management you can also create your Workflows via the so-called Role system. This means that a user with a assigned Role (e.g. Administrator) can perform specific actions in the Workflow (e.g. edit a document).

In the process, you define so-calledRoles (tasks) to which you can assign already existing Users and Groups. The access rights for workflow objects (or the execution of actions for which a User has the permission) are then managed via these Roles.

The assigning of Users to Roles need not take place once, centrally and system-wide, but can be performed at the moment of the creation of a Role Workflow object (and can also be changed subsequently if desired). The advantage of the Role system over the still available, conventional Users/Groups system is that it additionally offers an individual, "dynamic" assignment of rights on an object level.

One special feature of Role Workflows is the fact that they enable you to use time attributes. One of the Role functions (comparable to User permissions) that you can assign to a Role is the Define date option. Of course, this function needs to be assigned appropriately to enable a particular user to set a defined date at a specific position in the Workflow.

Another difference to the conventional Workflow Management is that you can call the Action list directly by clicking a workflow step. Click the Create action list button , and then click the required workflow step.

Since the implementation of the Role Workflows, you can also use the Send E-mail option. A prerequisite for the reading of E-mail addresses from Outlook address books is that the attribute has been assigned to the corresponding E-mail address.
